See what an AI member is doing and why, decide how freely it may act, and pause, resume or retire it.
Before you start
You need Supervise AI Members and to be the AI member's supervisor. With Manage AI Workforce as well, you can supervise any AI member in your organization. People with View AI Workforce can open the workbench and read it, but not change anything.
Open its workbench
- Open the AI member's profile: from Settings → Artificial Intelligence → AI Workforce, Team tab, click Open profile on its row; or find it under Accounts → Team Members.
- Choose the AI room. Its Workbench shows:
- Status: what it is doing right now, such as Working, Off shift, On hold or Paused, with what it is doing now and how many of its approvals are waiting. Wake now makes it check in at once.
- Today: whether today's Journal is written and its Plan is ready. Both are notes and tasks you can open like any other.
- Schedule: its working hours (or Always on), when its next shift starts, and its Scheduled responsibilities, each with when it next runs.
- Budget: what it has spent Today and This month against its limits, and when each resets.
- Autonomy: how freely it may act (see below).
- Trust: how many of its requests were approved recently, and how much people edited them. Ready for more autonomy appears when its record suggests it.
- Controls: pause, resume and retire.
- Hiring: its hiring checklist.
- Workstation: its computer. See AI Workstations: Watch, Take Over and Hand Back.
- Live call: a call it is on right now, with Listen in. See AI Phone Calls and Consent.
- Recent runs and Rehearsal, below.
Read its runs
A run is one stretch of work: what woke it (New email, Mentioned, Task assigned, Start of shift and so on), what it did, and how it ended (Acted, Nothing to do, Asked for approval, Escalated, Waiting for a person).
Click a run in Recent runs to open it. You'll see each Step (what it looked at, what it thought, each action and its result), the Tool calls it made, the Model it used, and its Cost. Read outside content marks a run that read something from outside your organization, such as an email from a customer; it is shown so you can judge its decisions with that in mind. Load older runs goes further back.
On a lead, What did AI do here? lists the AI activity on that record. Its supervisor can open the details.
Decide how freely it acts
Under Autonomy, choose one of:
- Shadow: it proposes every action; nothing leaves until a person approves it. Use this while you get to know it.
- Supervised: every action waits for a person's approval.
- Autonomous: it acts within its charter, and asks only when its charter says so.
Choosing Autonomous asks you to confirm: actions its charter allows will run without asking first, and everything it does is still recorded. If its role, department or job title sets a stricter limit, the dial says so (for example "Set by Job title: Receptionist") and cannot go past it. Which actions need approval is set in its charter; see The AI Charter Explained.
Pause and resume it
- Under Controls, click Pause….
- Optionally enter a Reason. It is shown on its profile and kept in the access log.
- Click Pause.
It stops at once and is signed out everywhere. Nothing is deleted. Click Resume when you are ready; it checks in and carries on from its records. A paused AI member's calls go to the fallback extension your phone settings name.
You may also see it paused for other reasons: Organization paused (someone paused every AI member; see How to Pause All AI Members) or Platform kill switch (Kamo stopped every AI member on the platform). Those are lifted where they were set, not here.
Retire it
Retiring is how an AI member leaves for good. Under Controls, click Retire… and confirm. It is signed out for good, its credential is revoked, its seat is released, and its open tasks go to its supervisor. This cannot be undone. Retiring needs Manage AI Workforce.
An AI member is never turned into a person, or a person into an AI. To stop one for a while, pause it instead.
If it doesn't work
"This AI member is not on the runtime yet." It hasn't started working: check its hiring checklist, where Starts working is the last step.
Its status says On hold. It stopped by itself and will carry on once the cause is gone: Daily budget reached or Monthly budget reached (it waits for the budget to reset), AI provider outage, No AI model available (no verified model can do what it needs), or Tools unavailable.
Its status says Blocked. It cannot sign in, for example because the AI Workforce app was switched off or its supervisor left. Fix the cause; it tries again by itself at least every 15 minutes and carries on once it can.
