Move an article from Draft through review to Published, or pull a published article back for revision.
Before you start
Access to the Knowledge Base; approving/rejecting likely needs a reviewer-level right (confirm when you review this article).
Steps
Submit for review
- Open a Draft article.
- Click Submit for Review. Its status changes to In Review.
Review, approve, or reject
- Open an In Review article β a review panel appears.
- Click Approve to publish it immediately, or click Reject and enter a required comment explaining what needs to change β the article goes back to Draft with your comment for the author to address.
Unpublish
Open a Published article and click Unpublish to pull it back to Draft β useful if it needs a correction and shouldn't stay live (or AI-searchable) in the meantime.
Other actions available on any article
- Edit β opens the article in the same editor used to create it.
- History β shows version history.
- Pin an article (via the pin icon) to surface it on the Knowledge Base home page.
- Delete β permanently removes the article.
