Note: approval status is a single flag anyone with Manage Materials can set — there's no routed multi-person approval workflow (no assigned reviewer, no approve/reject request) behind it.
Move a material through its approval lifecycle, and see how much it's actually being used.
Before you start
You need the Manage Materials right to change approval status. Viewing the current status and insights doesn't require it.
Steps
Change approval status
- Open the material's detail panel.
- Under Approval status, use the dropdown to pick Draft, Pending review, Approved, or Archived.
- The change saves immediately — there's no separate confirm step.
Anyone without Manage Materials sees the current status as a read-only chip instead of a dropdown. You can also filter the whole library to one status at a time — see How to Browse and Filter the Materials Library
View usage insights
- Click the Insights icon in the Materials toolbar.
- The dialog shows four org-wide totals — Previews, Downloads, Emails, and Links copied — plus a Most-used materials list ranked by combined downloads and previews.
- Close the dialog when done; there's nothing to save here.
What you'll see
Status changes are visible immediately as the chip color on the material's card (once it carries any status other than Draft) and in the status filter. Insights are read-only and reflect activity recorded automatically whenever anyone previews, downloads, emails, or copies a link to a material.
