When a legal package asks for a review, nothing is final until someone in HR looks at what the team member sent and approves it. This article walks you through doing that review in the Review Studio.
Before you start
You can review a package when any of these is true:
- You hold the Review Legal Submissions right, and the package lets anyone with that right review it.
- The package names you as one of its reviewers.
- The package sends reviews to the team member's manager, and you are their manager.
You can never review a package that was sent to you.
Find what is waiting
- A small badge appears in the top bar when something is waiting for you. Click it.
- Or go to Human Resources → Legal & Compliance → Needs Review.
Each row shows who sent it, which package it is, when it arrived, and whether it is late. A Resubmitted tag means you, or another reviewer, sent it back once already.
Review a submission
- Click Review on a row. The Review Studio opens.
- The list on the left shows every item in the package: uploaded files and signed documents. Click one to look at it.
- Look the document over in the middle. Zoom with the buttons in the corner, drag the page to move around, and use the page pictures on the left to jump between pages.
- Use the pens above the document to point things out:
- Highlight a line, draw an Arrow, a Box, or Draw freehand.
- Drop a numbered Pin and write a note for it on the right. The team member sees the same number on the page next to your note.
- Add a Callout, a little note box with a line to the spot you mean.
- On the right, choose Accept or Needs Correction for the item. When something needs fixing, say what in plain words. Tap one of the Quick Reasons to add a common reason with one click.
- Write an overall message to the team member if you like. A private note is only seen by reviewers.
- Click Approve when everything is right, or Return for Corrections when something needs fixing. A summary shows exactly what will happen before anything is sent.
Compare Rounds
When a team member sends something back after corrections, click Compare Rounds to see the old and new versions side by side, or slide between them with Swipe.
Include Comment With Approval
Your overall message is always sent when you return a package. When you approve, it is only sent if Include Comment With Approval is on. Leave it off when your message was only for yourself or for other reviewers.
Your work is saved as you go
Every change is saved for you. You can close the Studio and come back later; your marks and notes will still be there. Nothing reaches the team member until you approve or return.
What happens next
- Approve: the package is complete. The signed documents and the approved files are put together into one file, with a page showing who reviewed it and when, and it is filed with the team member's records.
- Return for Corrections: the team member is told what to fix. Only the items you flagged open again; everything you accepted stays locked. When they send it back, it comes back to the queue.
Keyboard shortcuts
Press ? in the Studio to see them all. The most useful: A to accept, R for needs correction, J and K to move between items, and Ctrl+Enter (or ⌘+Enter) to finish.
SI suggestions
If your organization uses SIs, the Studio may show what an SI noticed about a file, such as whether a photo is readable or whether a date was found. These are only suggestions. You always make the decision.
