Add or remove guests on an event you're creating or already organize, and notify them of changes.
Before you start
You must be the event's organizer to remove guests, cancel it, or use Update and notify. Anyone with write access to the calendar can add guests while creating a new event.
Steps
- Open the event — either while creating a new one, or by clicking an existing event you organize to edit it.
- Under Guests, type an email address into the field and click Add (or press Enter). The field checks that it looks like a valid address and won't let you add the same guest twice.
- Each guest you've added shows in a list with a colored dot for their RSVP: green for accepted, red for declined, amber for maybe, and a faint dot for awaiting reply. Hover a guest's remove button (the × on the right) and click it to take them off the list before saving.
- To finish:
- Creating a new event — click Create. Every guest you added is invited.
- Editing an event you organize — click Update and notify to save your changes and email every current guest about them, or Save to keep the changes on your own calendar without sending anything out.
- If you organize the event and need to call it off entirely, click Cancel event in the dialog's footer and confirm. This cancels the meeting for every guest — it's different from Delete, which only removes the event from your own calendar.
What you'll see
Guests you added receive an invitation; guests you removed drop off the event. If you used Update and notify, everyone still on the list gets an email reflecting the new details.
