The order to set KamoCRM up in. Not every step applies to every business, but the sequence does: several of these block the ones after them, and discovering that halfway through is what turns an afternoon into a week.
1. Your identity
- Company profile and branding β name, logo, colors. These appear on everything a customer sees. How to Update Your Company Profile and Branding
- Organization-wide settings β time zone and currency above all. Get the time zone wrong and every timestamp in the product misleads everybody. How to Configure Organization-Wide Settings
2. Your words
- Custom labels β if you call branches "offices" and customers "clients", say so now. Changing it later means every person you've trained has learned the wrong words. How to Rename Branches, Members and Team Members
3. Your structure
- Departments and job titles β the shape people slot into
- Security roles β what each kind of person may do. Read Security Roles Explained before building them; roles are the single most consequential setting in the product.
4. Your people
- Add your team β one at a time, or from a file if you have more than a handful. How to Add a Member or Team Member, How to Add People in Bulk from a File
- Assign roles β How to Assign a Role to a Member
5. The features you'll use
Turn on only what you need. How to Turn Apps and Features On or Off
Then set up the ones you turned on:
- Email β connect a provider, then verify your sending domain. Domain verification involves DNS changes and can take a day, so start it early. How to Connect an Email Provider
- Phone β add a provider, then give people extensions. How to Add a Phone or Text Provider
- Meetings β pick a provider and set your defaults. How to Connect or Switch a Meeting Provider
- CRM β markets first, then vendors and products, then credit allotments. Nobody can add a lead until all three exist. How to Add a Market
- Time cards β configure your rules before enrolling anybody; the rules apply from enrollment onward. How to Configure Your Timecard Rules
6. The things that pay off later
- Knowledge base β write your own internal guides. Also what the AI Assistant learns from. How to Write a Knowledge Base Article
- Document types and folders β decide the categories before people start uploading, not after. How to Manage Document Types and Folders
- Security and access β sign-in restrictions and logging. How to Manage Access Blocks and Geo-Blocking
The two mistakes people make
Turning everything on to see what it does. You end up with fifteen menu items nobody uses and no way to tell which ones matter. Turn on what you need, add later.
Leaving roles until the end. Roles decide what everybody sees, so setting them up after everyone has joined means a round of "I can't find it" that you then have to answer one person at a time.
