Marketing Materials (the Materials tab under Marketing in the left nav, at /marketing/materials) is the org's shared library of brand assets — flyers, social images, presentations, PDFs, anything a team member needs to find and send. It's a separate workspace from the Marketing Settings pages already documented in this folder (Social Providers, Canva Integration); this is where the assets those integrations produce actually live and get used day to day.
A material can arrive three ways: uploaded directly, designed in Canva and imported, or generated from a Canva brand template. See How do I create or import a Canva design?
How materials are organized
Four independent, layered ways to slice the library — a material can be in one folder, several Collections, and have several tags at once:
- Folders — a single-parent tree, same as a file system. One folder can also be marked as the org's Collections view (see below). A Trash view holds deleted materials until restored or purged.
- Collections — flat, non-hierarchical groupings (the UI's term for what the API calls "campaigns"). A material can belong to any number of Collections. Useful for "everything for the spring promo" style groupings that cut across folders.
- Tags — short labels with a color, assigned freely. The tag bar above the grid filters the library to materials carrying all of the selected tags at once (an AND filter, not OR).
- Approval status — every material has one of four states: Draft, Pending review, Approved, Archived. This is a simple flag, not a routed approval workflow with reviewers/approvers — anyone with the Manage Materials right can move a material to any status directly. See How to Approve and Track a Material's Performance
Visibility
Each material also carries a visibility level, independent of folders/Collections/tags: Everyone in the organization, a team-members-only level (label follows your org's custom Team Member term), or Confidential. New materials default to the team-members-only level.
