When a teammate asks an SI to join an outside meeting (a forwarded invitation, a pasted link, "join my Zoom at 10"), the SI can come in as an app in the meeting instead of dialling in by phone. Joining as an app gives clearer sound and shows the SI's name on screen. The phone stays the backup: whenever the app can't get in, the SI dials the meeting's phone number automatically, so nobody has to do anything differently.
You set this up in the same place as your meeting provider, Provider Setup. It works whichever service hosts your own meetings: your meetings can stay on Kamo Meets while your SIs join Zoom or Teams meetings that other people invite you to.
Before you start
- The Manage Meet Settings right.
- For Zoom: someone who is an admin of your Zoom account, to create the apps in the Zoom App Marketplace.
- For Microsoft Teams: an Azure subscription, to create an Azure Communication Services resource. Azure bills it by the minute to that subscription.
Steps
- Go to Settings → Kamo Meets → Provider Setup.
- Find the Zoom or Microsoft Teams card. Its bottom row shows how ready your SIs are (for example SI Joins: Not Set Up).
- Click Set Up SI Joins on that card.
- If that service already hosts your meetings, you land on its normal settings page; the Let SIs Join Meetings section is below its sign-in details.
- If it doesn't, the page opens for SI joins only. Nothing about your own meetings changes, and you are not asked to switch providers.
- Zoom: paste the Meeting SDK Client ID and Meeting SDK Client Secret of your Zoom General app (the help panel on the right lists every step).
- If Zoom hosts your meetings with your own app credentials, your SIs use that same Server-to-Server app. You don't enter it twice.
- If Zoom doesn't host your meetings, the section also asks for a Zoom Server-to-Server app (Account ID, Client ID, Client secret, the same fields as Zoom's provider settings). Give that app the
user:read:token:adminscope.
- Microsoft Teams: paste your Azure Communication Services Endpoint and Access Key (or the whole connection string into the first box).
- Click Check Connection. It makes a real call to Zoom or Azure. A green message means it worked; otherwise the message says what to fix.
- Turn on Join as an App.
What you'll see
The section, and the card's bottom row, say in plain words where things stand: Ready, Turned Off, Needs a Check, Not Set Up, Not Working or Coming Soon. Below that is how the last join went: "joined as an app", or "dialled in" and why.
Good to know
- Zoom lets an app join a meeting on someone's behalf only while that person is in the meeting, so the SI joins for the teammate who asked once they are there. Meetings outside your own Zoom account need Zoom to approve the app first.
- Teams organizers decide whether outside guests may join and whether they wait in the lobby. Someone in the meeting lets the SI in, just like any guest.
- Google Meet doesn't let apps speak in a meeting yet, so your SIs join Google Meet meetings by phone for now. There is nothing to set up.
- Coming Soon means Kamo is still finishing that service's app approval. You can save and check your details already; until then your SIs join by phone.
- Secrets are stored encrypted and never shown again. To change one, type the new value; leave the box empty to keep the saved one. Remove deletes the saved details, and your SIs go back to joining by phone.
- Nothing about this changes what the SI does in the meeting: it takes notes, answers when it is addressed, treats everyone there as someone outside your organization, and sends the notes to the teammate who asked and its supervisor.
