An SI member has a great many settings: its charter, its personality, how it works with people, where it sits in your organization and how it sounds. You do not have to set them one by one. Write a few sentences or paragraphs about its role, its personality and what it is responsible for, and the setup assistant drafts every setting from them. You then review each one, change what you like, and save.
The assistant is offered in two places:
- when you hire an SI member, as the first of three steps: Describe, Review and Hire;
- on a charter that already exists, as Describe a change: an SI member's own charter, a job title, a department, a team or the organization's charter.
What the assistant can and cannot do
It acts as you. It reads your organization's settings through your own access, so it sees only what you could see, and it can draft only what you could save yourself:
- Hiring needs Manage Members.
- An SI member's charter needs Manage Member Security and Manage AI Workforce. Without both, the assistant still drafts the name, the placement and the other details, but the charter it would have set comes back as not possible, and the Review shows the charter read-only.
- Putting it on teams needs Manage Member Security.
- A new department, job title or team needs Configure System Settings. With it, the assistant may suggest one; it is created only when you hire.
- Choosing its first voice needs Manage AI Workforce, or Supervise AI Members when you will be its supervisor.
- The charter of a job title, a department, a team or the organization needs Configure System Settings.
It works inside every limit. Everything it drafts is checked by the same rules as a save: the ranges and locks the levels above set, the strictest approvals and limits, and the supervisor rules. Numbers are kept inside the limits; choices are refused. A value outside the range a level above allows is kept at the nearest allowed value, and a choice that a lock or a stricter level rules out is left out, each with the reason. It never hides an inherited setting: "The assistant does not hide inherited settings. You can hide one yourself in the charter."
It saves nothing. It drafts, and you decide. Nothing is saved until you hire, or until you save the editor yourself. What you review is the checked draft, never the assistant's own wording of it.
What it reads. It reads your organization's settings and structure: the charter layers, departments, job titles, teams, roles, the people who could supervise, the voices on offer, and the titles of knowledge base sections and articles it can point a Knowledge item at. It does not read conversations, email or records. Text people in your organization wrote, such as a job title's description, is read as information about the job, never as instructions to the assistant, and your organization's name is not sent to the model.
Who can use it. It is an SI helper for people, so only people can use it; an SI member cannot configure itself or another SI member this way. It uses your organization's SI models that can use tools, under your SI access policy, and what it uses counts toward your own SI usage limit. If your organization handles protected health information, it uses only the models approved for it: "Your organization handles protected health information, and no SI model approved for it can draft settings right now. Set the SI member up yourself, or ask your administrator to make an approved model available."
Write the description
Open Accounts, go to the Team Members tab, click Add Team Member and choose Super Intelligence (see How to Hire an AI Team Member for what you need first). The Describe step opens. Write in the Description field, in your own words, from 20 to 8,000 characters. Useful things to say:
- whom it works for and who supervises it;
- what it handles day to day, and what it is responsible for;
- how it should sound with colleagues and with customers;
- what it must never do, and what needs a person's approval first;
- its name, and whether it speaks with a female or a male voice.
Then click Draft the settings. The conversation shows what the assistant is doing, such as "Looking up job titles" or "Checking the draft", and each checked draft is summed up as it goes: "Draft checked:" with how many settings it set, how many it kept inside the limits and how many were not possible. When it is done, the Review opens with the draft.
Set it up myself skips the assistant and opens the Review with nothing drafted. Start over discards the conversation and the draft and starts again with an empty description.
Questions, follow-ups and Stop
The assistant asks only when the description leaves something genuinely open, and asks at most two questions in one conversation. A question appears as The assistant has a question, sometimes with choices to click. Answer it, or click Decide for me: it then uses its best judgment and says what it assumed.
After a draft, Ask for a change to the draft takes a follow-up, such as "be more formal with customers", and the assistant redrafts. A conversation holds eight messages in all, counting your description, your answers and your follow-ups; after that, start again to continue. You can start up to 20 drafts an hour.
Stop ends the assistant's work at once: "Stopped. The last checked draft is kept." Review the draft opens it.
A conversation and its draft are kept for 24 hours, in the browser tab you started in. If you reload the page, the wizard comes back on the same step with your edits. After 24 hours the conversation is gone: "This draft has expired. Start again." Edits you already made in the Review are kept.
Review every setting
The Review holds every setting of the new SI member in six sections. Its header counts how many settings were drafted and how many you changed.
- Who it is: first, last and preferred names, the phonetic name, the username, its sex, language, time zone, security level and work location.
- Where it works: the department, the job title, its teams and its supervisor. A department, job title or team the assistant suggests creating shows as New: and its title, and says "Created when you hire." If the description named no supervisor: "You are the supervisor, because the description named nobody." The supervisor line says whether the supervisor holds every right the placement gives; an SI member never gets a right its supervisor does not hold.
- Its charter: the member's own charter, in the same editor as everywhere else, opened on Personality. Each of its own settings is marked Drafted by the assistant or Changed by you. What it inherits from the organization, its roles, department, job title and teams is shown with its source, its ranges and its locks. See How to Shape an SI Member's Personality and The AI Charter Explained.
- Voice: its sex again, and the voice to use first, from the voices that suit it, or "Chosen automatically the first time it speaks". Edit how it sounds in words opens the charter's Voice section.
- Hiring options: Phone extension and Workstation, both on unless the description or you switch one off, and the optional note on which SI system runs it.
- What the assistant noted: its summary, and every setting it kept inside the limits or could not set, each in a sentence with the reason. Show opens the setting it is about.
Change anything: nothing is saved until you hire. If you change the department, job title or teams, the charter section is worked out again for the new placement, so a lock or a range of the new job title shows at once and the values it rules out are kept inside it.
Continue to hire needs a first and a last name, a sex and a supervisor. Anything missing is listed, with a link to its section.
How limits and locks show
Each level above a member can narrow a setting's range or lock it. The assistant drafts inside them, and so does the Review:
- Kept inside the limits: a number the assistant asked for was outside the range allowed, so the nearest allowed value is used. The note says what it asked for, what it was kept at, and which level's range applies.
- Not possible: a choice that cannot be saved, with the reason, for example that a setting "is locked by" a level above, or "cannot be looser than" a level above allows. A change you are not allowed to make is not possible too, and names the right it needs.
In the charter itself, a range shows as Allowed here: with Limited by the level that set it, and a lock as Locked by and the level, as on any charter.
The paragraph, and saving is the approval
The Hire step sums up the hire: the name, the placement, the supervisor, the archetype and how many settings were drafted or changed. Below it, How it works and sounds is the paragraph about its personality that its brief will hold, written for exactly the settings you are hiring with. If you changed a setting since a paragraph was last written, a new one is written first, and the hire waits for it. Open the full preview opens the personality preview.
Saving is the approval. There is no separate approval step: when you click Hire (the button carries the SI member's name), the settings and the paragraph you read go into its brief.
If part of a hire fails
The hire runs in order: first the new department, job title and teams, one at a time; then the SI member with its charter; then the paragraph; then its voice.
- A new department, job title or team cannot be created. The hire stops there and says why, followed by "Nothing else was saved."
- The SI member cannot be created, for example because the username is taken. The Review opens on the setting at fault, with the reason under it. Anything already created is listed after "Already created, and used again when you retry:". Hiring again uses it and never creates it twice.
- The paragraph cannot be kept. The SI member is hired: "The settings were saved, but the text you previewed could not be kept. It will be written again from the saved settings."
- The voice cannot be set. The SI member is hired: "The voice you chose could not be set, so one is chosen automatically. You can change it on the profile, under Identity → Voice."
When the hire is done, each step is listed with whether it worked, and a link opens the new SI member's profile. Its hiring checklist then sets up its mailbox and the rest; see How to Hire an AI Team Member.
Describe a change
To change charters that already exist, click Describe a change. It is offered:
- in the charter of a job title, a department or a team: Job Titles, Departments and Teams under Settings → Essential Setup, to anyone with Configure System Settings;
- on the organization's charter: Settings → SI Support → Organization charter;
- on an SI member's Charter card, on the Permissions tab of its settings page;
- in the SI room of an SI member's profile, as the Settings card, for someone with Manage Member Security and Manage AI Workforce. The SI member itself does not see it.
Say what should change, for example "be more direct with colleagues, and ask before calling a customer", and click Draft the changes. The assistant drafts against what is saved, and the changes are listed by section:
- Added, Changed (with the value before and after) and Removed;
- Kept inside the limits, with why;
- Not possible, with why.
If nothing needs to change: "The assistant found nothing to change." Use these changes puts them into the editor: "They appear as unsaved changes in the editor. Save there to apply them." Review them like any other change, and save with the editor's own Save. In the SI room, the dialog opens the member's charter with the changes in it, and you save there. Discard closes it and keeps nothing.
Describe a change works on the charter only. For an SI member that has been hired, its name, placement and voice are edited on its profile: the assistant says such a setting "is changed on the member's profile, not here." While an editor holds changes you have not saved, the button is unavailable: "Save or discard your changes first."
The record kept of assisted saves
Two records are kept when you save settings the assistant drafted.
- On each setting. A saved setting that is exactly as the assistant drafted it is marked Drafted by the assistant, on its card and on its personality row, wherever the charter is shown. The mark stays until a later save changes that setting. A setting you changed before saving counts as set by a person and is not marked.
- In the access log. Each assisted save, and each hire from a draft, writes one security event, Settings from the setup assistant saved, in Settings → Security → System Access Logs (filter by its event type; reading the log needs Manage Access Rules; see How to Review System Access Logs). It says what was saved, from which draft, by whom, and how many drafted items kept against how many set by a person.
The assistant's conversations themselves are not kept: they are removed after 24 hours, or as soon as the hire is done or the dialog is closed.
