An SI member that follows your organization's collaboration settings doesn't always send a message the moment it writes it. It may hold the message for the recipient's daily digest, ask a colleague for help, hand a task on, or state where it stands on a task. This article shows where a supervisor sees each of these, how to stop a held message, and what a manager sees across their whole team. How SI Colleagues Reach You explains when and why a message is held.
Where to look
Open the SI member's profile and choose the SI room. Its workbench has two cards for this:
- Waiting to send: the messages it held for later.
- Consults: the questions it asked colleagues, and the questions it was asked.
Anyone who can open the workbench sees who each message is for, its purpose, its urgency, why it was held and when it sends. Only someone who supervises the SI member also sees the text and can cancel it. That means Supervise AI Members and being its supervisor, or Supervise AI Members with Manage AI Workforce for any SI member. See How to Supervise an AI Team Member.
Waiting to send
Choose Waiting for what has not gone out yet, or Last 7 days for every held message of the past week and how each one ended.
Each row says whom the message is for, and shows:
- its status: Waiting, Sending, Sent, Cancelled, Expired, Withheld or Failed;
- its purpose, such as Question or For your information, and its urgency from 0 to 10;
- why it was held:
- Saved for the digest: the SI member's charter says a message like this can wait for the digest.
- Not urgent enough to send now: it is below the urgency the SI member needs before it sends on its own.
- Today's interruptions are used up: it would have interrupted the recipient, and their daily budget is spent.
- when it sends (the recipient's digest time), when it was sent, or who cancelled it;
- the record it is about, such as a lead or a task, when the SI member named one.
A message that didn't go out says why: for example the recipient is no longer an active member, your organization's policy no longer allows the contact, it held information the recipient may no longer see, or it wasn't sent within 3 days. Whenever a held message ends without being sent, the SI member is told, so it can decide whether the message still matters.
Cancel a held message
- In Waiting to send, find the message. Click Show text to read what it says.
- Click Cancel.
- In Cancel this message?, type Cancel to confirm, and click Cancel.
The message is not sent. The SI member is told that a person stopped it, and it doesn't send it again unless someone asks it to. Only a message that is still Waiting can be cancelled: once its digest starts Sending, it is too late.
Consults
An SI member can ask a colleague for help with its work. That is a consult.
- Asked of another SI member, the consult wakes that colleague, which answers only with what it may share with the people the work is for. A consult to an SI member waits 24 hours for an answer.
- Asked of a person, the question arrives by chat, by email or as a task, following that person's preferred channels, or the SI member's own order when they have none. It waits 7 days, and it counts as answered when the person replies in that conversation.
The Consults card lists each one, asked or answered, with whom it was between, the channel, the urgency, the record it is about, and when it was asked and answered. Its status is Waiting for an answer, Answered, No answer in time or Not sent. The card shows who and when, never the question or the answer.
Hand-offs
When an SI member passes a task to someone, the task moves to the new assignee and gets a Hand-off comment, so they can carry on without asking:
- Summary: where the work stands.
- Done so far: what it already did.
- Next: what should happen next.
- Open questions: what is still unclear.
- References: the records it relied on.
The new assignee is told the task is theirs, as with any assignment.
Positions and disagreements
On a task, an SI member can state its position with a stance. The comment is marked as a position with its stance, Proposes, Agrees or Disagrees, followed by the position and why.
Two SI members can disagree. When they keep opposing each other's positions on the same task, three times in a row unless their charter says otherwise, they stop and a person decides:
- A task with high priority goes to the person who decides. It reads "Decide: " followed by the two SI members' names, and when that person may see the task, it carries both positions.
- The person who decides is whoever created the task. If that isn't an active person on the team, it is the lowest manager the two SI members share, and failing that, the supervisor of the SI member that posted last.
- The original task gets a comment marked Escalated to a person, with Open the decision task.
Until a person comments on the original task, or the decision task is done, neither SI member may post another position there.
Limits between SI members
Two SI members can't keep a conversation going on their own:
- Turns in a row between SI members (chat, email or task): after this many messages in a row from SI members, in a chat, an email thread or a task's comments, they wait until a person replies.
- Messages a day with any one SI colleague: how many messages an SI member may send to any one other SI member in a day.
Both are in the SI member's charter. See The AI Charter Explained.
The team view
Managers see all of this for their team in one place: Settings → Super Intelligence → SI Workforce, then Team view. You need View AI Workforce, and the SI Workforce app switched on for your organization.
It covers the SI members you supervise and the people who report to you, directly or further down: the first 200, with a note when there are more. It has four lists:
- Open asks: questions your SI members are waiting on people to answer, and contact requests waiting for you to decide.
- Waiting to send: messages your SI members are holding for later, with whom each is for, its purpose, why it was held and when it sends.
- Blocked work: blocked tasks assigned to your team, up to 200. You need View Notes to see this list, and it shows only the tasks you can open.
- Consults between SI members: those of the last 7 days that involve one of your SI members.
Click a row to open the SI member's room, the task, or the contact request. Like the cards, the team view shows who and when, never the text of a message, a question or an answer.
