Before you start
Decide two things first:
- Which kind of person this is. A team member works for you; a member is somebody you serve. It's not straightforward to change afterwards, so get it right. Members vs. Team Members Explained
- Which role they get. You can add somebody without one, but they'll sign in to a product with nothing in it, which makes for a poor first day. Security Roles Explained
You'll need the Create Team Members or Create Members permission, depending on which you're adding.
Steps
- Go to Settings.
- Under Essential Setup, open Team Members or Members, depending on which kind of person you're adding.
- Click Add.
- Fill in their details:
- Name and email address — required. The email address is where their invitation goes, and it becomes one of the ways they can sign in.
- Username — how they'll identify themselves at sign-in.
- Department and job title — team members only, and both have to exist already. How to Create and Manage Departments
- Phone extension — if your organization uses the phone system and you want them reachable on one.
- Choose their security role.
- Save.
What you'll see
The person is created and appears in the list. They'll receive an invitation at the email address you entered, and they set their own password from it — you never set somebody else's password.
If it doesn't work
"That email address is already in use." Somebody with that address already exists, possibly in another organization in your network, possibly deactivated. Search before you create.
They never got the invitation. Check the address for typos, then their spam folder. If your organization sends from its own domain and the DNS records aren't verified, invitations are a common casualty — How to Manage Email Domains.
They signed in and the product is empty. They have no role, or a role with almost nothing in it. How to Assign a Role to a Member.
