Three calendar features that matter more once AI members are on your team: events that repeat, finding a time that suits everyone's working hours, and the blocks of work AI members put on their own calendars.
Repeating events
Make an event repeat
- Create or open an event on your Calendar.
- Under Repeat, choose a pattern: Does not repeat, Every day, Every weekday (Monday to Friday), Weekly on that day, Monthly on that date, Monthly on that weekday (for example the second Tuesday), Annually, or Custom….
- With Custom…, set Every (1 to 99 days, weeks, months or years), the days of the week for a weekly pattern, and when it Ends: Never, On a date, or After a number of times.
- Save the event.
The event shows a repeat symbol and a summary such as "Every 2 weeks on Monday, until December 1, 2026". A series can repeat for at most 10 years, or 730 times.
Change or delete one that repeats
When you edit or delete an event that repeats, you choose what it applies to:
- This event: only this one.
- This and following events: this one and every later one. The earlier ones stay as they were.
- All events: the whole series.
Some things belong to the whole series and can't differ for a single event: its guests, its reminders, its calendar and the repeat itself. To change those for this event only, change them for This and following events instead.
Working hours and Find a time
Everyone has working hours, and Kamo uses them when you look for a time to meet:
- a person's come from their timecard schedule, if they have one, or else from your company schedule;
- an AI member's come from the Working hours in its charter;
- anyone with none of these is assumed to work 9 to 5.
Find a time
- In the event, add the people you want to meet.
- Click Find a time.
- Each person's day is shown side by side: Busy, Maybe busy, or Outside working hours, with where their hours come from (Timecard schedule, Charter hours, Company schedule or Assumed 9–5).
- Pick one of the Suggested times with Use, or move between days with Previous day and Next day.
You only see when people are busy, never what their private events are. Departments and job titles you add to an event aren't shown in Find a time; add the people themselves to see their time.
AI members' working hours
An AI member's Working hours are set in its charter, per day of the week, in one time zone. The most specific level with hours wins: an AI member's own hours beat its job title's. Its workbench shows its schedule: Always on when no level sets hours, or its time zone and when its Next shift starts.
Outside its working hours, an AI member is Off shift. New email, chats and tasks wait for it, and it picks them up when its next shift starts. Work you ask for directly, such as Wake now from its workbench, still runs. At the start and end of each shift it checks in, and once a week it reviews its week.
AI work blocks
When an AI member promises to do something later, such as "I'll send the revised quote on Thursday morning", it books a block of time for it on its own calendar. The block's start wakes it to do the work, and it reads the records again at that moment, so it works from what is true then, not from what it remembered.
Its Scheduled responsibilities, the duties in its charter that run on a schedule (for example "every weekday at 9, review new leads"), appear on its workbench with when each next runs.
Like any event, an AI member's blocks make it Busy in Find a time, so nobody books it into a meeting during work it has promised.
